Private by design: where your meetings live

Where your audio, transcript and notes go in MeetingMate, and exactly what is sent to the cloud model it uses by default.

"Private" is an easy word to put on a website. Here is what it means in MeetingMate.

What runs where

The Mac app opens in its own window, backed by a small server on your computer that listens on 127.0.0.1 (not reachable from the network) and rejects requests from other websites. The shared browser service is separate: your team's operator hosts the database, and browser microphone recordings go to that host for transcription.

Audio and transcripts

MeetingMate records the call audio on your computer and your microphone, and Whisper transcribes it locally in roughly 20-second chunks. Audio is never uploaded. Recordings are kept by default so you can download them as .m4a; turn off Keep recordings and audio is deleted once transcribed. Transcripts can delete themselves after a set number of days.

Notes and search

Meetings, notes, transcripts and the search index used to answer questions across meetings are all stored on your computer.

The model: cloud by default, local as fallback

Writing minutes and answering questions needs a language model, which MeetingMate runs through Ollama.

  • By default, a large cloud model. MeetingMate uses gpt-oss:120b-cloud through Ollama Cloud, because larger models write better minutes. For each request, the text it needs (your notes, the transcript, your question) is sent to Ollama's cloud service under its terms. Audio is never sent.
  • Automatic local fallback. If you're offline or the cloud can't be reached, MeetingMate switches to a small local model (qwen2.5:3b) and tells you when it has.
  • Fully local, if you choose. Configure a local model as the main one and nothing leaves your computer. The writing is plainer and slower.

These settings apply to the Mac app. In the shared service, AI runs on the service host and follows its configuration.

The people you're meeting with

The others in the meeting are being transcribed too. With no bot on the call, MeetingMate's short notice, pasted into the meeting chat, is how they find out. Please use it.

Sharing, on your terms

Beyond the model request above, notes leave your computer when you decide: a Word or Markdown download, or the MCP connector that lets Claude or another AI app read them, which you set up and can remove.

What we don't claim

MeetingMate holds no SOC 2, HIPAA or other security certification. Your notes are as safe as your computer, so disk encryption and a good password still matter. The default model runs in Ollama's cloud, so read Ollama's terms or switch to a local model. We would rather say this than let "private" do more work than it should.
